Vendor Guidelines
The Downtown Walla Walla Farmers Market is a producers market operated by the Downtown Walla Walla Foundation in partnership with the City of Walla Walla.
We’re proud to support a market that prioritizes local producers, high-quality products, and a strong vendor community. These guidelines are in place to keep the market running smoothly, ensure compliance with state and local requirements, and create a consistent, welcoming experience for vendors and shoppers alike.
If you’re planning to participate, this page outlines what to expect and what’s required. By applying and participating in the market, vendors agree to follow these guidelines. The Market Manager is available to support vendors and oversees day-of operations.
Farmers Market Standards
The Market operates in accordance with Washington State Farmers Market standards and is a member of the Washington State Farmers Market Association (WSFMA). The DFM follows the WSFMA Roots Guidelines for Member Markets.
All vendors must comply with applicable federal, state, county, and local regulations, including licensing, food safety, labeling, and insurance requirements. The Farmers Market is a producers market, which means:
Vendors must grow, produce, process, or create the products they sell.
Franchises are not permitted.
The Market reserves the right to approve, deny, or remove vendors or products to maintain quality and product balance.
To participate, vendors must:
Be the active owner or operator of the business.
Sell only products approved through the application process.
Comply with all federal, state, county, and local regulations.
Maintain required licenses and permits.
Carry $1,000,000 general liability insurance listing DWWF as additional insured.
Product additions must receive prior approval from the Market Manager. All products must be disclosed in the vendor application. Any product additions or changes must be approved by the Market Manager prior to sale.
The business owner, designated partner, or manager must be present at the Market at least two market days per calendar month. When the owner is not present, trained representatives may attend in their place and are responsible for complying with all Market policies. Names of all those who will work in the booth should be stated in the application.
Vendor Eligibility
Product Categories:

Fresh fruits and vegetables, herbs, nuts, honey, dairy products, eggs, poultry, mushrooms, meats, fish, fresh flowers, nursery stock, plant starts, and plants grown or produced by the vendor.

Products prepared or processed by the vendor where the majority of ingredients are grown or produced by the vendor, such as jams, preserves, syrups, baked goods, dried goods, oils, or similar items.

Foods produced by the vendor from raw ingredients that were not grown by the vendor, such as baked goods, preserves, sauces, or similar products.

Original handcrafted goods created by the vendor, including items such as pottery, fiber art, woodworking, jewelry, photography, or other original works.

Freshly prepared foods intended for immediate consumption, produced in compliance with applicable health regulations.

Community organizations and informational vendors.

Participation & Attendance
The Downtown Farmers Market offers two ways to participate:
Seasonal Membership – Designed for vendors planning consistent participation throughout the full market season. Seasonal Members commit to the full season and receive reserved booth space, and discounted weekly booth fees.
Pop-Up Vendor – Designed for vendors, nonprofits, and community organizations participating on approved individual market dates. Pop-Up Vendors are approved based on availability and category balance.

Seasonal Membership includes one 10×10 booth space and is ideal for vendors planning consistent participation throughout the season.
Membership Options:
Reserved Vendor – $100 Annual Fee
Dedicated booth location for the full season. Booth location does not change.
Regular Vendor – $65 Annual Fee
Dedicated booth for the full season. Booth location may vary based on Market needs.
Junior Vendor – $25 Annual Fee
For vendors 18 and under; reserved booth space each market day; placement may vary.
Seasonal Members also pay the applicable weekly booth fee (discounted rate) for each market date attended.

Pop-Up Vendor - $20 Application Fee
The Pop-Up option is designed for nonprofits, community organizations, and vendors who cannot commit to the full season.
Pop-Up Vendors participate on individual market dates and are approved based on availability and category balance.
Approved Pop-Up Vendors pay the standard weekly booth fee for each market date attended and a $20 application fee.

Electricity access: $5 per market day (limited availability)
Requirements & Compliance
The Downtown Farmers Market is not a wholesale market and is not intended for the sale of surplus or cull products. Produce with cosmetic flaws may be sold only if properly labeled.
Vendors must maintain all legally required permits and licenses, which may include:
Washington State Business License and active UBI
City of Walla Walla Business License
Health Department permits
Washington State Department of Agriculture licenses
Scale certification if selling by weight
Any additional permits required for specific product categories
All applicable licenses and permits must be submitted at the time of application and kept current throughout the season.
Prepared food vendors must comply with Walla Walla County Health Department requirements, including food handler permits and sampling regulations.
All farm fresh, value-added, and processed food products must meet Washington State and federal labeling requirements.
The Market reserves the right to prohibit any vendor or product that does not meet Market standards or regulatory requirements.
